I self-fund my contest, that is, I pay all the sanction fees and buy the supplies without asking the club for any "seed" money. I make the awards by printing up certificates on fancy paper and picking up 8.5X11 picture frames on sale at the local department store. The certificates have the name of the contest, the dates, the club logo, the class and place. On the day of the contest, I take pictures of each contestant and get them one-hour developed. At award time, I assemble the frame, certificates, and pictures and hand them out. I don't end up with much waste because I can re-use the frames if there are less contestants than awards (usually FAI class in this area). You could use a digital camera and print the certificates with pictures on the spot, but it takes time to do all the printing. I also hand out the pictures of the non-placing pilots if they want them.

After the contest, I reconcile the income from entry fees with my expenses, and turn any profit over to the club, typically $150-$200. So far, after 5 years I have not been stung, but the chance is always there if the weather is bad. Try and minimize your up-front expenses. My sunk costs up to the day prior to the contest are the sanction fee, award frames, and certificate paper.
